Availabilities

Where and how do I add or remove my availability?

Via your calendar in the GoStudent Dashboard, you can enter, change and delete availabilities at any time with just a few clicks.

This is how it works in detail:

Go to "Calendar" in the menu. Click on a time slot of your choice and drag the cursor over all the fields you want to enter. This will highlight them in green.

Click on the "Save" button below the calendar and reload the page to check that everything has been saved. The slots have now turned from green to blue.

To delete an entry, simply click the blue slot again so it is marked in red. Then confirm again by clicking on the "Save" button.

You can remove your availability at any time, unless a booking has already been made for the date you wish to remove.
Once you have been booked for a session, you can no longer remove your availability and you are obliged to hold the lesson.
Important:
• As soon as you know you are no longer available at a particular time, you must immediately remove your availability; otherwise, you risk being booked for that date. At that point, you will be obliged to hold the session.
• When updating your calendar, always check that the system has saved the changes (refresh the page).
 

Tips

  • Always enter availability as early as possible (2 weeks in advance would be optimal).
  • Enter as many availabilities as possible.
  • If possible, enter availabilities for prime time (3pm-7pm) as this is when most students have their classes.
  • Please ensure to regularly update your availabilities (at least once per week).
 
 
 

How far in advance and how many slots should I insert as my availability?

We recommend approx. 2-3 weeks in advance, as this period should be plannable while simultaneously allowing sufficient flexibility.

What are availabilities for?

Your availabilities are used to help schedule trial sessions with potential new students. They are also visible to your existing students, who can use them to book or reschedule their lessons based on your available times.

If you currently don’t have capacity to take on new students, please make sure to check the box “I don’t have capacity for additional students” in your schedule settings. When this is selected:

  • You will not be booked for trial lessons
  • You will not be matched with new students
  • Your current students will still be able to book and reschedule lessons as usual.
     

Note

  • If you enter your availability at short notice, this can lead to difficulties for the account manager or customers, as they are not able to find bookings in advance.
  • If you enter too much time in your calendar and your plans change in the meantime, problems may arise. In this case, it is important to keep the calendar up-to-date in good time. Delete slots promptly wherever you are no longer available.
 
 
 

What should I do if I didn't enter any availability, but have been booked anyway?

You will only be booked for trial lessons at times when you have entered availability.

Where you have removed availability, always check by logging out and logging in again whether your availability is actually no longer entered.

If there is a problem please contact the support team.

Already registered/booked lessons should always be honoured and attended.

 
 

Trial lesson booking

What is a trial lesson?

A trial lesson is a 30-minute introductory session in which prospective clients can try our service free of charge.

It’s very important to make a good impression on the student during a trial lesson, so that they decide to continue their studies with GoStudent and with you as their tutor. It’s the perfect opportunity to show what you’re capable of as a tutor and attract new regular students, so you need to prepare thoroughly to convince them of your potential!

Here are a few tips for a successful trial lesson 😊

  • View further information about the student in the Dashboard (click ‘i’ button next to trial) in order to be able to prepare for the lesson.
  • Greet the student in a friendly way, introduce yourself briefly and create a pleasant, motivating atmosphere.
  • Find common interests, establish a link to the topic and start teaching.
  • At the end of the lesson, suggest a possible follow-up lesson and say goodbye to the student.
  • Fill in the feedback after the lesson in your Dashboard and send your feedback to the account manager via the GoChat. 😃
 
 

How will I be notified if I have been booked for a trial lesson?

As soon as you are booked for a trial lesson, you will receive a push notification via the GoStudent app. Please make sure to have push notifications enabled. You will also see the booking in your Dashboard (Lesson Overview).

If a trial lesson has been booked for you, a chat will be created on GoChat with the relevant Educational Advisor. Chats with Educational Advisors will look slightly different from normal chats with your students, and can be identified by the GoStudent logo used as the profile picture and a ‘Educational Advisor’ label in place of the course title.

 
 

Where can I find information on the trial lesson?

You can find general information about the trial lesson in your GoStudent Dashboard in the booking overview (lesson overview). 

When you see the trial lesson there, there is a button called  "Trial lesson Information" where you can find some general information.

You will receive all further information, such as topics and tasks, via the GoChat message that you will receive from the account manager.

 
 

What is the trial lesson “prime time”?

Prime time is Monday-Friday from 3 - 7 pm during the week and 10 am - 3 pm on weekends. This is when the majority of our lessons take place.

If you enter availability at this time, your chances of being booked are much higher.

Outside prime time, bookings tend to be less frequent. With the exception of school holiday periods and weekends. 
However, this varies from customer to customer.

 
 

How do I enter a trial lesson?

You will find your trial lesson booking in your Dashboard, under ‘Lesson Overview > Upcoming’. 
To start the lesson, click on the ‘Start session’ button next to the booking.
The student will receive the link to access the lesson directly from the Education Advisor.
If you are unable to enter the virtual room, you can use the link found in your Google Calendar if it is synchronised with your calendar in the Dashboard. We strongly recommend linking them so that you always have your bookings to hand.

Attention: You can only enter a classroom 9 minutes before the scheduled start of the lesson.

 
 
 

Up to when can I get booked for a trial lesson?

You can set your individual notice period preference for trial lesson bookings in your Dashboard > Calendar > Preferences.

 
 

Do I have to hold a lesson if I have been booked at short notice and can not make it?

Yes! All requests are based on the availability you have entered in the calendar on your Dashboard. If a lesson is therefore booked shortly before the start time, you are required to accept it.
However, the individual notice period you have specified in the Scheduling Settings on your Dashboard will be respected!
If a last-minute booking is causing problems, please contact your Education Advisor immediately.

Tip

To be on the safe side, please regularly keep your availability updated. Slots can be added and removed at any point as long as no bookings have already been made at that time.

 
 
 

Can I prevent myself from being booked for trial lessons?

Yes, by not entering any availabilities and always taking care of the bookings for your regular customers. You can also tick the option “I don’t have capacity for additional students” in your Calendar

With the toggle on, your availability slots can only be booked by your existing students. You will not receive any new students or trial lessons.
 

 

 
 

Can I refuse to hold a trial lesson?

Already booked lessons are to be honoured. Cancelling a trial booked in a slot already made available does incur the trial cancellation penalty.

In exceptional circumstances only, please contact the account manager immediately.

 
 

What is the Trial lesson cancellation policy?

A seamless start is essential to create a positive first impression and build trust with your students. To ensure a smooth start for those students on their learning journey and to avoid repeated cancellations of trial lessons booked in available slots, tutors will receive a cancellation penalty of minus £10 for trial lessons that are cancelled by tutors. 
This policy aims to minimise cancellations and the rescheduling of trial lessons. It also emphasizes the importance of reliability in terms of tutor availability to ensure clarity on who can cover new students.

 
 

How does the Trial lesson cancellation policy work?

  • Once a trial lesson is booked, you will receive a cancellation link in the message created in GoChat with the account manager.
  • You can cancel a trial lesson at any time before it begins; however, a fee of £10 will be deducted automatically from your earnings.
     
 
 

Trial lesson preparation

What do I do if I do not get any information about the trial lesson?

If you have not received any topics before, it is because the student has not sent us any assignments.

Nevertheless, make the most of the lesson. Be sympathetic, appreciative and motivating. Use the lesson to find out where the student needs the most help and create a learning plan.

What is the trial lesson GoChat for?

Chats with Education Advisors are used to discuss matters relating to the student during the trial lesson. If the trial lesson is successful and the student becomes your regular student, a new chat will be created between you, your student and the relevant Education Advisor. After 14 days, the Education Advisor will leave this chat.

 
 

What makes the perfect trial lesson?

Our customers get a free trial lesson before signing a membership! If the student wants to continue tutoring with you after the trial lesson, you gain a regular student.

Who should I inform if I have issues with the trial lesson?

For trial lessons, please contact the account manager who booked in the lesson. If you are unable to contact the account manager, please contact the support number via WhatsApp or the Dashboard. 

 
 

After the trial lesson

How do I give feedback after a trial lesson?

Two types of feedback are needed after a trial lesson:
 

1. Complete the feedback in the GoStudent Dashboard:

This can be done in your Dashboard by clicking on the feedback button after the lesson. This is only possible for 24 hours after the trial lesson.

  • This is mandatory and should ideally be done within 30 minutes after the end of the trial lesson, it doesn’t take long and it is really important!
  • You have to fill it in - only then will the earnings be credited!


2. Give qualitative feedback via GoChat directly to the account manager: 

  • Please make sure that your feedback is detailed and accurate. You can send it in writing or as a voice message via GoChat.
  • It helps us a lot for the next phone call with the parents or student.
 
 

Until when do I have to fill out the feedback after the trial lesson?

The feedback button is only active for 24 hours after the end of a trial lesson! 
If you do not complete it within this time frame, you will not be credited with your earnings.

Even in regular lessons, it is important to fill in the feedback promptly after the lesson so your earnings are credited. We recommend to fill them out within 24 hours.

 
 

What do I do if the feedback button does not appear?

You can take the following steps if the feedback button does not appear immediately:

  • First, make sure that the lesson has finished.
  • Load the page again.
  • Try again by using Google Chrome.
  • Log out and log back in.
  • Try again using an incognito window.
  • Delete the browser cache.
  • Search for the lesson in your lesson overview by clicking on "Previous". There you should see the feedback prompt in red, where you can access the feedback form.


If all this doesn't work, try filling in the feedback form on your mobile phone.

If this fails, please wait 3 hours after the scheduled end of the class and submit an earnings adjustment for the relevant lesson.

 
 

How do I communicate with a student/client in GoChat?

Once a trial lesson has finished, if the student takes out a subscription, a new chat will be created in GoChat between you, the student and the relevant Education Advisor. If a follow-up lesson has not yet been arranged, please suggest some dates and times in this chat for your first regular lesson with your new student.

It will be your responsibility to book the first regular lesson once the student has signed up for a subscription and their profile is visible in your Dashboard under the ‘My Students’ section.
After 14 days, the Education Advisor will leave the GoChat group chat. You and your new student can continue chatting to organise your subsequent lessons.

 
 

Will I get paid if I don't fill out the feedback form?

The feedback button for trial lessons is only active for 24 hours after the end of the lesson. 

You must complete it in order to receive your earnings for a trial lesson should it convert to a regular student.
